The best tender software for defence SMEs
A small defence supplier has one or two people doing business development, an engineer who reviews requirements when asked, and no time for notices that were never relevant. This guide ranks tools on what matters at that size: price and contract terms, defence filtering, and how quickly you reach a bid decision.

How we judged
[ 07 CRITERIA ]We scored each tool on seven criteria, weighted for the reader of this page. Defence relevance: does it filter out fire engines and office furniture, and say why a notice is defence work? NATO and national coverage: which EU, UK, NATO agency and national sources does it actually index, per its own coverage pages? Qualification depth: does it help decide whether to bid, with cited document evidence rather than a bare score? Collaboration: pipeline, owners, comments and recorded decisions. Integrations: API, MCP, CRM, Slack or Teams. Pricing transparency: published prices, trial and contract terms. Data portability: can you get your work out when you leave?
For this page we weighted pricing transparency and contract terms and defence relevance highest, because an SME pays for a tool with the time of its only bid manager and cannot absorb a one-year commitment that does not work out. Integrations were weighted lowest: most small teams start with email and a spreadsheet.
Everything about competitors comes from their public websites, help centres, terms and review listings, checked on 15 September 2026. We did not score accuracy of alerts, because that needs identical test notices run through every product, which vendors’ marketing cannot substitute for. If you also sell to civil buyers in several countries, its breadth may matter more than defence filtering. Note that its prices are labelled limited-time and it has no API or documented data export.

Its G-Cloud price of £11,400 per licence per year, UK-only coverage and lack of a bid workflow put it out of reach or out of scope for most defence SMEs, though its public defence tracker is worth reading for free.

What an SME actually needs
[ SIZING ]A tool earns its fee for a small team in three places. It stops the bid manager reading irrelevant notices, which is where defence filtering matters. It shortens the first read of a tender package, which is where cited briefs and extracted requirements help. And it keeps the reason for each bid or no-bid decision, so the next similar tender takes minutes instead of a meeting.
What an SME rarely needs in year one: buyer contact databases, UK spend analytics, framework call-off data and CRM integration. Before you sign
[ 08 CHECKS ]Questions to put to any vendor, including us.
- 01Send five notices you bid on last year and ask whether the tool would have found each one, from which source, and when.
- 02Ask for the source list, not a portal count: which NATO agencies, which national platforms, and which are live today versus planned.
- 03Ask how a sparse notice is scored. A missing clearance or eligibility statement should be shown as unknown, not treated as a pass.
- 04Check the contract: minimum term, auto-renewal, notice period and whether prices can rise at renewal.
- 05Find the export: what leaves the product as a file or through an API, and what the terms say happens to your data at the end.
- 06Price the whole team, including the engineers and reviewers who only need to read a brief once a month.
- 07Ask where data is hosted and which AI providers process tender documents and your company profile.
- 08Run a two-week trial on live work, not the demo account.

02Do I need defence-specific tender software as an SME?
If most of your bids are defence or dual-use, yes: general tools surface civil notices that share defence CPV codes, such as fire engines or medical supplies, and you pay for them in reading time. If defence is a small share of your work, a generalist may be enough.
03Should an SME sign a one-year contract for tender software?
Only after a trial on live work. DCI requires a one-year minimum that auto-renews, and Stotles auto-renews with 45 days’ notice. Tendify, Tenderlake and Defense Explorer offer monthly options.
04Can small teams share one account?
