How to export your data from Tendify
Tendify documents one self-serve download: tender documents from a tender’s Resources tab. Pipeline, monitors, briefs and comments have no documented export, so the reliable route is written: its terms let you request an export of your customer data within 30 days of termination.
What you can take with you

- 02No self-serve export of the pipeline, statuses, comments, monitors or briefs is documented in the help centre, which has no article on exporting, cancelling or deleting an account.
- 03The terms of service let a customer request, within 30 days after termination, a reasonable export of customer data in a commonly used format. Tendify owns “Tender Data and Match Results”; your own customer content remains yours.
- 04Tendify has no public API, MCP server or CRM integration, so there is no programmatic route out.
- 05Your personal data is covered separately by the portability right in its privacy policy, with requests sent to hello@tendify.eu.

Export step by step

- STEP 01
Download tender documents from Resources
Each tender in Tendify opens a workspace with four tabs: Details, Tender Brief, Resources and Riko Chat. The Resources tab gathers the tender documents, and the help centre says you can download them one by one or in bulk.
Do this for every live pursuit before you lose access. The originals also remain on the contracting authority’s portal, and some portals require you to log in there anyway.
- STEP 02
Record your monitors by hand
A daily monitor is a saved search built from countries, CPV codes, keywords and contract values. No export of those criteria is documented, so open each monitor and copy its criteria into a spreadsheet. This is the part of your setup that is hardest to rebuild from memory.
- STEP 03
Snapshot the pipeline
Without a documented pipeline export, record each opportunity’s title, buyer, deadline, stage, owner and the key comments. A shared spreadsheet with a link back to the official notice is enough, and it doubles as a check on what the formal export later contains.

Request the customer data export in writing
Use the template below. Under the terms, the request can be made within 30 days after termination; sending it before you cancel removes any doubt about the window. If you also want your content deleted afterwards, the terms say Tendify will delete customer content within 60 days of termination on request.

Check your billing period
Tendify sells monthly and annual plans. Its terms describe fees as non-refundable except for a pro-rata refund in specific termination cases, so time the cancellation to the end of a paid period rather than the middle.

Download and record while you still have access
Documents, monitor criteria and a pipeline snapshot all need a working login. Do them first.
- STEP 03
Send the export request before termination
The contractual window runs for 30 days after termination, but a request sent beforehand is on record and gives Tendify time to prepare it.

Ask for deletion only after you have the export
Deletion of customer content within 60 days is available on request. Confirm the export is complete first.

- STEP 01
Start from your inventory, not the old tool’s structure
List the search criteria you relied on in Tendify (countries, CPV codes, keywords, value bands), the bids that are live today with their deadlines and owners, and the certificates and references you keep being asked for. That list is what you rebuild; the rest of the export is archive.
We do not advertise a one-click importer from other tender tools. If you are moving a large pipeline, talk to us before you start and we will help you plan it.
- STEP 02
Describe what you sell, per product line
Set up the company profile with one entry per product line or service. Matching then scores each notice 0–100 against that line and lists the reasons, what the notice did not state, and hard blockers such as a missing clearance separately. See explainable matching.

Recreate your saved searches
Rebuild the searches from your inventory as saved searches, personal or shared with the company. Filters cover source, country, CPV code, value, dates and defence relevance, and they are evaluated on the server so new matches reach the digest. Put live bids on the pursuit board
Add each live opportunity as a pursuit with a stage, owner, next action and deadline, and record bid or no-bid decisions with their rationale as you make them. See the capture pipeline.

Run both tools until the renewal date
Keep Tendify running until your notice period ends and compare what each surfaces for the same weeks. If Defense Explorer misses notices you depend on, you will know before the old contract lapses.
Questions
[ 06 ANSWERS ]01Can I export my Tendify pipeline to Excel?
Not through a documented feature. Tendify’s help centre does not describe a pipeline, monitor or comment export. You can request an export of your customer data under its terms of service within 30 days of termination, and keep your own spreadsheet snapshot in the meantime.
02Can I download the tender documents?
Yes. The Resources tab of each tender workspace lets you download documents one by one or in bulk, according to Tendify’s help centre.
03Does Tendify have an API I can pull data from?
No public API, MCP server or CRM integration is documented on Tendify’s website as of September 2026.
04Who owns the data in Tendify?
Its terms say Tendify owns the tender data and match results, and the customer keeps rights to its own customer content, such as what your team writes and uploads. That is why the export request should focus on your pipeline, comments, files and monitors. This is not legal advice.
05Does GDPR give me the right to export everything from Tendify?
No. The right to data portability in Article 20 of the GDPR (and the UK GDPR) covers personal data you provided, processed by automated means on the basis of consent or a contract. It gets you your user profile and similar personal data in a structured, machine-readable format. It does not cover the vendor’s tender database, its match results or company records that are not personal data. For those, your contract and the product’s own export features decide what you can take. This is not legal advice.
