How to export your data from Tenderlake

Tenderlake gives you more ways out than most: folders export with fields you choose, the Contract Awards Report exports to Excel, PDF or CSV, and a REST API reads notices, folders and AI assessments. What it does not have is an account-wide export or a clause in its terms about your data at the end.

What you can take with you

Export each folder and your awards reports yourself, pull anything larger through the API while your key works, and write down alert definitions: there is no documented export for them and no contractual export route.

Export step by step

The awards report has written steps. The folder export is documented as a feature with a video walkthrough; follow the video in the Tenderlake Academy for the clicks.

  1. STEP 01

    Export the Contract Awards Report

    Tenderlake documents this path: create alerts for the industry you track, click Reports in the left-hand menu, name the report and select the alerts, then save.

    Open a month in the report, and export the full report to Excel, PDF or CSV, or print it. Repeat for each month you want to keep.

  2. STEP 02

    Export each folder

    When exporting notices from a folder you can choose which fields to include and add the automatically generated summaries and clearer titles. Tenderlake shows the clicks in a video walkthrough rather than text, and does not state the file format in writing, so run one folder first and check the file before doing the rest.

  3. STEP 03

    Pull larger sets through the API

    If you have API access, pull notices, folder contents and AI assessments as JSON using stable ids. Its incremental pulls and lean mode make a full copy practical. Do it before the subscription ends, while the key still works.

  4. STEP 04

    Record alerts, keywords and AI search descriptions

    No export of alert definitions is documented. Copy the keywords, phrases and capability descriptions you wrote, because they encode most of what your team learned about finding relevant work.

Before you cancel

Because the terms do not promise anything at the end, everything has to be done while you still have access.

  1. STEP 01

    Check monthly or annual billing

    Tenderlake sells monthly and yearly plans, with invoices on annual plans. Its terms say there are no refunds after billing, so cancel at the end of a paid period.

  2. STEP 02

    Export folders, reports and API data first

    None of these routes works without an active login or key.

  3. STEP 03

    Note that prices can change at renewal

    Tenderlake’s terms allow fee increases at renewal on 45 days’ notice. If you receive one, that notice is a natural point to decide and export.

  4. STEP 04

    Send the request for anything not exportable

    Alert definitions and notes have no documented export. Ask in writing, but do not rely on the answer: keep your own copy.

Moving into Defense Explorer

What to do with what you took out of Tenderlake. Nothing here assumes a one-click import.

  1. STEP 01

    Start from your inventory, not the old tool’s structure

    List the search criteria you relied on in Tenderlake (countries, CPV codes, keywords, value bands), the bids that are live today with their deadlines and owners, and the certificates and references you keep being asked for. That list is what you rebuild; the rest of the export is archive.

    We do not advertise a one-click importer from other tender tools. If you are moving a large pipeline, talk to us before you start and we will help you plan it.

  2. STEP 02

    Describe what you sell, per product line

    Set up the company profile with one entry per product line or service. Matching then scores each notice 0–100 against that line and lists the reasons, what the notice did not state, and hard blockers such as a missing clearance separately. See explainable matching.

  3. STEP 03

    Recreate your saved searches

    Rebuild the searches from your inventory as saved searches, personal or shared with the company. Filters cover source, country, CPV code, value, dates and defence relevance, and they are evaluated on the server so new matches reach the digest. Coverage is TED, NATO/NSPA, EU Funding & Tenders, TenderNed, UK Find a Tender, UK Contracts Finder, Spain’s PLACSP and France’s BOAMP: check tender monitoring against the portals you actually used.

  4. STEP 04

    Put live bids on the pursuit board

    Add each live opportunity as a pursuit with a stage, owner, next action and deadline, and record bid or no-bid decisions with their rationale as you make them. See the capture pipeline.

  5. STEP 05

    Run both tools until the renewal date

    Keep Tenderlake running until your notice period ends and compare what each surfaces for the same weeks. If Defense Explorer misses notices you depend on, you will know before the old contract lapses.

Can I export Tenderlake folders to Excel?

Folders can be exported with selectable fields and AI summaries. Tenderlake does not state the file format in writing; its walkthrough is a video. The Contract Awards Report does export to Excel, PDF or CSV.

Does Tenderlake have an API?

Yes. Its REST API returns JSON, uses stable ids, reads notices, folders and AI assessments, can add and remove notices in shared folders, and has an OpenAPI 3 specification. Access is requested through Tenderlake’s contact form.

Can Tenderlake Analyst export my data?

Tenderlake Analyst is an MCP connector that lets an AI assistant answer questions about notices and awards with citations. It is useful for querying but it is not an export tool, and it is billed on credits.

What happens to my Tenderlake data when I cancel?

Its terms of service contain no clause about exporting or deleting customer data after termination. Its privacy policy says account data is kept while the account is active and afterwards as legal obligations require. Export before you cancel.

Does GDPR give me the right to export everything from Tenderlake?

No. The right to data portability in Article 20 of the GDPR (and the UK GDPR) covers personal data you provided, processed by automated means on the basis of consent or a contract. It gets you your user profile and similar personal data in a structured, machine-readable format. It does not cover the vendor’s tender database, its match results or company records that are not personal data. For those, your contract and the product’s own export features decide what you can take. This is not legal advice.
